Privacy — Knebworth Basecamp

Who we are

KBCE Limited, trading as Knebworth Basecamp (“we”), a company registered in England and Wales (company number 17486883, business address Nup End Business Centre, Old Knebworth, SG3 6QJ), runs a temporary glamping and parking site at Old Knebworth, Hertfordshire, and is the data controller for the details below. What we collect and why

When you book: your name, email address and mobile number, the dates and products you book, the names of the people staying in your tent, how you want the beds made up, and the registration of any car you bring. We use this to provide what you have booked (our contract with you), to run the gate and the site safely on the day (our legitimate interest, and the licence conditions we operate under), and to keep the records the law requires. Payment card details go to Stripe and never reach us. Stripe also asks for your billing address and keeps it, to check payments for fraud; we see it only if we need it for a disputed payment. If you leave a review, we keep your rating, comment and first name with your booking, and show your first name and comment on our website only if you ticked the box; email hello@knebworthbasecamp.com to change or remove it.

Other people’s details

If you give us the names of your guests or the registration of someone else’s car, you are responsible for telling them and for having their agreement. We use those details only to check people and cars in at the gate.

The opening list and other sign-ups

If you join the opening list, ask to be told when bookings open to everyone, or ask about a date that has sold out, we store your email address, what you asked about and when you signed up, because you asked us to email you about it. Every list email has an unsubscribe link and you can reply STOP; we remove you within a day. These sign-ups are kept until the shows are over and deleted by 31 October 2027.

Future events

If you tick the box to hear about future events, we keep your email address and when you agreed, and email you about glamping and parking we run at other events, at Knebworth or elsewhere, under the Knebworth Basecamp name or another name used by KBCE Limited. It is separate from your booking and the opening list: you can say no and still book. Every email has an unsubscribe link, or reply STOP. We keep this until you unsubscribe, or for three years after you last booked or signed up, whichever comes first.

Who we share it with

Stripe (payments), Resend (sending our emails), Vercel (hosting), Turso (our booking database) and, if required, the police, the licensing authority or our insurer. These providers act on our instructions under contracts that meet UK GDPR. Some of them process data in the United States under the UK Extension to the EU–US Data Privacy Framework or standard contractual clauses. We never sell your data and never share it for anyone else’s marketing. Only if you choose Accept all in our cookie banner, Google (Analytics and Ads) and Meta (its pixel) also receive the pages you visit, your IP address and cookie identifiers, opening-list sign-ups and booking starts. Our lawful basis for that is your consent, which you can withdraw at any time with Cookie choices. Meta is a joint controller with us for collecting that data and also uses it for its own purposes, including its ads; Google uses it to measure our ads and to build audiences for them. Google and Meta may process data in the United States under the UK Extension to the EU–US Data Privacy Framework or standard contractual clauses.

How long we keep it

Personal details on a booking (names, contact details, registrations) are deleted or anonymised within 90 days after the last event date. Transaction records without personal details (reference, amount, date) are kept for six years for tax. Stripe keeps its own payment records under its own privacy notice.

Security

The site is served over HTTPS, the database and its backups are encrypted, access to booking details is limited to us and our gate crew through a passcode, and card payments are handled entirely by Stripe.

Cookies and analytics

We use Vercel’s privacy-friendly analytics, which does not use cookies or identify you. The crew area sets one login cookie for staff. When you arrive from one of our links (an ad, an email or a post), your browser keeps a short note of that link’s campaign name, or of the website you came from, for up to 30 days. If you book, it is stored with your booking, so we can see which of our ads and posts lead to bookings. It holds no personal details, is not a cookie and is never shared with anyone else. Your browser’s Global Privacy Control or Do Not Track setting switches it off. Advertising cookies are set only if you choose Accept all in our cookie banner. Then we load Google’s tag (Google Analytics and Google Ads) and Meta’s pixel, which set cookies so that we can measure how the site is used, and Google and Meta can tell us which of our ads lead to visits and bookings (when you start a booking: what you chose and its value; when you complete one: its value and a coded booking number; never your name or contact details) and show our ads to people who have visited. Google and Meta handle that data under their own privacy policies. Nothing is loaded from them on your ticket, payment or confirmation pages. Choose Reject all, or change your mind at any time with Cookie choices at the foot of every page; when you reject, we delete their cookies from our site. We remember your choice for six months in one cookie (kb_consent). If your browser sends Global Privacy Control, we treat it as Reject all.

Your rights

You can ask for a copy of your data, ask us to correct or delete it, restrict or object to how we use it, or ask for it in a portable format, by emailing us; we answer within one month. You can complain to the Information Commissioner’s Office at ico.org.uk. We do not knowingly collect details of anyone under 18 except as a named guest of an adult who is booking.
